Lighting Β· quick Β· easy Β· huge

How to actually do it

Lighting is ~80% of the vibe and the cheapest thing you control. Warm-white only (2700K β€” cool white reads "meeting room"), kill the overheads, layer 3–4 sources at different heights. Real references and a budget tutorial below.

  1. $0Kill every overhead / fluorescent. The single biggest move. Flat ceiling light is what makes a room feel like an office.
  2. ~$3/bulbSwap to warm-white 2700K bulbs in every lamp. Cool white = clinical. Warm = intimate. This one number matters more than fixtures.
  3. $10–20String / fairy lights (warm white) along the walls and laid down the centre of the food table.
  4. $10Candles / battery tealights everywhere β€” scatter on tables and around the cheese board. Flicker = warmth. Flameless if the venue requires.
  5. borrowLayer 3–4 light sources at different heights β€” floor lamp + table lamps + string + candles. Never one bright source.
  6. Point light down and at the food. The board is the hero β€” light it, dim everything else. Keep one slightly brighter "photo corner" for content.

Room Β· furniture

Table layout & setting the room

Zone the room into four areas so the night runs itself. The food/bar goes far from the seats on purpose β€” it drags the crowd across the room on the break and seeds the mingle.

Option A Β· Two-tops RECOMMENDED

~10–15 small numbered tables, each seats 2. Intimate, quieter per chat, photographs best, and turns into the mingle setup on its own. Number each + an arrow so movers know where to go next.

Option B Β· One long banquet row

Tables in a single line, a row of chairs on each side. Stayers one side, movers shift one seat down each bell (end seat loops to the front). Reliable + compact when furniture's tight β€” but louder.

The rotation

One side stays, the other moves up one each bell. Highest number loops back to #1.

Stay πŸͺ‘12345
Move β†’ABCDE⟳ +1 each round

Women stay (dates come to them β€” feels safer); men move, carrying their drink + match card. Stations = exactly the number of pairs (12+12 β†’ 12 tables) + 1–2 spare chairs. Keep 3–4 ft between stations so conversations don't bleed; small tables beat wide ones for hearing.

One circle or two? ≀20 people (≀10 pairs) β†’ run one rotation, ~10 rounds, everyone meets everyone in ~40 min. >20 (e.g. 30 = 15 pairs) β†’ split into two parallel circles of ~12–15 each so rounds stay ~8 and the night doesn't drag past 45 min.

Tables

~10–15 two-tops, OR 4–6 folding banquet tables. Rental folding table ~$10–15.

Chairs

2 per station + spares (~30 total). Rental ~$2–3 ea, or borrow / use venue's.

Mingle

2–3 cocktail high-tops (~$15–25 rental ea) or just open floor + any existing soft seating.

Source it

Ask the venue first β€” most Griffintown spaces have tables + chairs, which zeroes this. Else: Locations Chic / Vaisloc / AMA.

The night Β· July 3

Day of β€” roles & run-of-show

Who does what, and the night beat-by-beat, so it runs itself. You & the co-host co-MC; the helpers own check-in, the bell, content, and the floor. (Filming the night lives in Marketing β†’ Day-of.)

Who's on what

Host (you) Β· co-MC

Open the night + give the rules, run the bell with the co-host, work the room, and never let anyone stand alone.

Co-host Β· co-MC + greeter

Co-runs the mic (warm + funny), greets women at the door so it feels safe, helps steer the rounds. Your in-person trust signal.

Helper 1 Β· photo/video

Capture content all night β€” b-roll, candids, opt-in interviews. Shot list in Marketing.

Helper 2 Β· check-in + bell

Name tags at the door, runs the 3-minute timer, calls each rotation.

Helper 3 Β· floater

Wine refills, replenish the board, and rescue anyone left standing alone.

MC welcome (co-MCs, ~20s)

"Welcome β€” so glad you're here! Here's the night: grab a glass, we'll do a few three-minute rounds so you actually meet everyone, then it's open mingling. Two rules: be kind, and when the bell rings, movers shift one seat to the right. The cards on your table are icebreakers β€” 🟒 green is safe, πŸ”΄ red is... less safe. Have fun."

The bell cue

Ring once β†’ "Okay! Movers β€” one seat to your right πŸ””" Keep it light and on time; the rhythm is what makes it feel like a real speed-dating night, not an awkward mixer.

The execution list
