How to actually do it

Lighting is ~80% of the vibe and the cheapest thing you control. Warm-white only (2700K — cool white reads "meeting room"), kill the overheads, layer 3–4 sources at different heights. Real references and a budget tutorial below.

1. $0Kill every overhead / fluorescent. The single biggest move. Flat ceiling light is what makes a room feel like an office.
2. ~$3/bulbSwap to warm-white 2700K bulbs in every lamp. Cool white = clinical. Warm = intimate. This one number matters more than fixtures.
3. $10–20String / fairy lights (warm white) along the walls and laid down the centre of the food table.
4. $10Candles / battery tealights everywhere — scatter on tables and around the cheese board. Flicker = warmth. Flameless if the venue requires.
5. borrowLayer 3–4 light sources at different heights — floor lamp + table lamps + string + candles. Never one bright source.
6. Point light down and at the food. The board is the hero — light it, dim everything else. Keep one slightly brighter "photo corner" for content.

🛒 The minimal lighting kit (~$85, mostly reusable)

20-min setup: overheads OFF → string lights along the walls + down the centre of the food table → swap lamp bulbs to 2700K and point lamps at the walls to bounce → scatter tealights on every table + the board → test with overheads off and adjust until it's warm but you can still read faces.

Zone the room into four areas so the night runs itself. The food/bar goes far from the seats on purpose — it drags the crowd across the room on the break and seeds the mingle.

Sized for 25 (middle of your 20–30). Wine is returnable so over-buy; food is perishable so buy to ~25. The lighting kit is in the Lighting section.

It's a free event → this is fully out of pocket. ~$40 comes back as wine returns and ~$105 is reusable (lights + boards) banked for event #2, so real spend on event #1 is ~$430. ⚠ Free events flake harder — over-invite ~2.5× and confirm every guest.
